Accounts Payable Specialist – Nashville, TN

The Accounts Payable Specialist is responsible for accounting and administrative tasks related to the maintenance and processing of accounts payable transactions.

Essential Duties and Responsibilities include:

  • Accounts Payable
  • Receives invoices from vendors
  • Daily input of invoices into AVID, Yardi, and MRI systems
  • Maintain W9’s and COI’s for vendors
  • Check Processing
  • Assists in Peer Training and cross training across portfolios
  • Interacts with vendor as appropriate in a timely and professional manner (daily)
  • Maintains Vendor Permanent Records, W9’s, Invoice Files, and Certificate of Insurance.
  • Special projects such as audit of Vendor files to pare down to vendors used over last 2 year.
  • Ensures that all accounting documentation is filed and administered in accordance with policy and procedure
  • Continually improves technical proficiency
  • Spends agreed upon time enhancing accounting and property management knowledge

Qualifications:

  • Accounting/Accounts Payable related experience of four or more years
  • Understands the Importance of the Tenant-Client-Manager-Vendor Relationships
  • Solid Customer Service and Interpersonal skills
  • Attentive to detail

Property Accountant - Nashville, TN

The Property Accountant is responsible for a portfolio of buildings related to the portfolio account. The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this function.

Essential Duties & Responsibilities include:

  • Prepare all aspects of the financial statement package, including creating and posting journal entries, general ledger review and completion of balance sheet support schedules
  • Ensure financial packages are completed and delivered in a timely and accurate manner to Directors of Property Management, Property Managers, and clients
  • Ensures all debt, real estate tax, and sales tax (where applicable) are made in a timely manner and internal schedules are maintained
  • Lease abstract and input/setup into MRI system
  • Tenant Improvements tracking of allowance
  • Monthly accruals and recognizing prepaid expenses
  • Daily cash review/posting and application of tenant’s prepayments
  • Adhere to internal accounting policies and procedures
  • Assist in the set up and transitions of properties which may include loading beginning balance information, sales pro-ratio calculations, and closing entries

Qualifications:

  • Accounting related experience of 4 or more years, property accounting experience preferred
  • Excel spreadsheets with formulas experience required
  • Experience reading and understanding leases preferred
  • CPI (Consumer Price Index) experience a plus
  • MRI software experience a plus

Mobile Building Maintenance Engineer - Nashville, TN

The Mobile Building Maintenance Engineer may supervise and coordinate activities for maintenance of the property, its structures and all associated mechanical, electrical, plumbing and emergency systems as directed by property manager. Employee should be pro-active in maintaining HVAC equipment in good working order and respond to maintenance calls in a timely manner.

Duties and Responsibilities Include:

  • Perform daily building integrity checks. Ensure building and grounds interiors and exteriors are clean and safe
  • Change HVAC filters
  • Handle all tenant service requests in a timely manner and informs tenant when the job is completed
  • Order supplies, handle wallpaper repairs, fire extinguisher inspections, inspect automatic doors, clean up water spills, patch parking lot, pressure washing, touch-up paint on buildings, stairwells, etc., change light bulbs, stained ceiling tiles and other maintenance duties including plumbing repairs of faucets, toilets, in common areas and tenant spaces as requested by PM
  • Meet service vendors and contractors to get bids when needed, quotes for emergency repairs, supervise some tenant finish work after hours, follow up inspections after repairs are made
  • Individual maintains current inventory of all building tools, equipment and fixtures in a clean and orderly manner
  • Conducts pre and post-construction inspection of Tenant Improvement areas to ensure all mechanical equipment is in working order and adjust to building standards
  • Proactive in reporting all alarms or energy systems problems to Director Engineering and Property Manager as instructed
  • Daily contact with the general public and must be able to relate to physicians needs and emergency situations in timely manner
  • Performs other related duties and assignments as required

Qualifications:

  • High school diploma with some college or technical training on Mechanical systems
  • Universal HVAC certification preferred
  • Strong customer service skills, dealing with tenants, administration, vendors
  • Position requires four (4) + years’ experience with well-rounded maintenance background in building maintenance, HVAC, plumbing, electrical, air compressors and painting
  • Continued education on upgrades to building systems as needed
  • Ability to work independently or supervise others as needed
  • Good communication skills
  • Reliable transportation to travel between buildings and carry supplies
  • Valid Driver’s license, proof of insurance and clean MVR report
  • Electrical skills needed to replace exit lights, light bulbs and ballast
  • Plumbing skills to install faucets, guts for toilets or other minor plumbing needs or supervise installation by Outside Contractors
  • Basic HVAC experience

Project Architect/Designer – South Bend, IN

Innovative real estate company seeks a dynamic self-starter to join their team as a full-time project architect/designer.  Responsibilities include providing architectural services in areas such as construction, development and asset management/leasing. Must be proficient in AutoCAD, Adobe Illustrator, Photoshop and Microsoft office programs, and possess knowledge in working with construction contracts and AIA draw forms.

 REQUIREMENTS

  • Degree in Architecture from a NAAB accredited program
  • Valid driver’s license
  • Minimum of 3-5 years of relevant architecture industry work experience

Residential Maintenance Technician – Portage, IN

The Residential Maintenance Technician (RMT)’s primary responsibility is to maintain the physical integrity of the Promenade at Founders Square in Portage, IN.  This involves insuring a safe, secure and comfortable living environment for residents, visitors and staff.  The RMT will carry out assigned duties in a safe manner and other duties as requested by the Property Manager. The RMT must be knowledgeable of pertinent laws, EPA and OSHA regulations governing proper storage and management of hazardous materials, including solvents, flammables, caustics and Freon.

Job responsibilities will include:

  • Diagnose and perform minor and routine maintenance/repair, as directed, involving electrical, plumbing (including water lines), AC and heating systems, Appliances (when applicable), water irrigation systems, stairs, gates, fences, patios, railings, tile, carpet, flooring, roofing, gutters, fasteners, interior/exterior lights, fireplaces, ceiling fans, gas fixtures and appliances (where applicable), shutters, doors, cabinets, windows, sliding glass doors, boiler (gas and electric), door locks, P.O. boxes, security systems (where applicable), ceiling leaks, walls, pool areas, tile and pool furniture.
  • Constantly be aware of the condition throughout the community and immediately initiate action to correct unsafe conditions such as broken gates leading to the pool, broken steps, open holes, broken/burned out exterior lights
  • Schedule and perform routine preventative maintenance on all appropriate equipment, and inspect and maintain tools and equipment.
  • Report all major repairs and need requisitions to Property Manager prior to any expenditure of funds.
  • Meet with service vendors and contractors to get bids, when needed.
  • Assist in keeping grounds neat and free of litter.
  • Perform all work related to snow removal and ice management which includes but not limited to shoveling, salting, plowing and all procedures related to weather related control measures.
  • Maintain all aspects of a swimming pool: cleaning, chemicals, and knowledge of all safety issues.
  • Answer on-call maintenance requests 24 hours per day on a rotational basis
